Look for repetition, not complexity

List the tasks your team repeats each week: moving enquiry details into a CRM, reminding someone to follow up, or collecting information from several places. Pick a small process with a clear beginning and end.

Map what happens today

Write down the trigger, the information needed, the tools involved, and the person responsible for each step. Include exceptions. A workflow that looks simple on paper may still depend on an approval or missing information.

Choose a useful measure

Measure the current process before changing it. You could track time spent preparing a record, the number of manual handoffs, or the time between an enquiry arriving and its first response.

Keep the first version focused

Automate one repeatable part, test it with realistic examples, and keep a way for a person to handle exceptions. Expand only after you understand how the first workflow behaves.
